General Liability Policy
Grace and Grooves LLC maintains a comprehensive general liability policy to ensure the safety and well-being of all participants. This policy encompasses all classes, events, and activities organized by the institution. Participants and their guardians are required to acknowledge and accept this policy as a condition of enrollment.
Insurance Liability Waiver
By enrolling in any program or participating in any class, event, rehearsal, or activity conducted by Grace and Grooves LLC, participants (and their parents or legal guardians, if under 18) expressly agree to waive all claims of liability against Grace and Grooves LLC and its instructors, affiliates, staff, and contractors for any injury, loss, or damage sustained during participation.
This waiver includes, but is not limited to:
- Bodily injury or medical issues arising during class or events either to student or to student’s guest, with or without permission.
- Loss or theft of personal property.
- Accidents occurring during travel to/from class, rehearsals, or event venues.
- Any illness, including exposure to airborne or contagious diseases.
Participants are strongly encouraged to carry their own personal health insurance, as Grace and Grooves LLC does not provide individual medical or liability coverage beyond its general business liability policy.
Legal Responsibility Disclaimer
Grace and Grooves LLC does not assume any legal liability for the actions or conduct of any participant, student, parent, guardian, or guest.
In the event of any legal disputes, actions, or claims arising from the behavior or conduct of a participant (or related party), all legal costs, representation, and consequences shall be the sole responsibility of the individual involved (or their parent/guardian if a minor).
Grace and Grooves LLC and its affiliates shall be held harmless from any such liabilities, and any legal or court-related fees will be paid entirely by the student or the responsible party.
Ms. Hetal’s family does not influence her decision-making in any of her activities. It would be inappropriate and unfounded or rather a harassment to associate or contact them in any way with any aspect of Ms. Hetal’s choices of any type or about any Grace And Grooves Corp activities. Ms. Hetal acts independently in all matters of Grace And Grooves Corp and none of them are ever present either!
Photo and Video Liability Waiver
Grace and Grooves LLC records all classes, rehearsals, and events for the purposes of quality assurance, internal review, documentation, training, marketing, and promotional use.
By enrolling in any class or program, all participants and their legal guardians waive any and all liabilities related to the photographing, filming, reproduction, and distribution of images or video/audio in which they may appear.
Participants acknowledge and consent that their image, likeness, and performance may be used without compensation or claim across various media, including but not limited to:
- Social media platforms (Facebook, Instagram, YouTube, etc.)
- Websites and blogs managed by Grace and Grooves
- Promotional materials, brochures, newsletters, and advertisements
Grace and Grooves does not accept liability for third-party use or sharing once media is published on public or authorized platforms.
Grace and Grooves will not remove any advertised material whatsoever in any case, once released anywhere in social media or any blog or any endorsed materials.
If a participant wishes to opt out of media sharing, they must submit a formal written request at or prior the time of registration. However, this does not apply to in-class “group” or private class recordings used for internal purposes or for various brand awarness programs for social well being.
Common Guidelines for Parents and Students
To foster a respectful and productive learning environment, the following guidelines are in place:
- Attendance: Regular attendance is crucial. Participants are expected to attend all scheduled classes and rehearsals punctually.
- Dress Code: Appropriate attire, as specified by the instructor, must be worn during all classes and performances.
- Behavior: Respectful behavior towards instructors, peers, and staff is mandatory. Disruptive conduct may result in dismissal from the program.
- Communication: Parents and students should maintain open communication with instructors regarding any concerns or scheduling conflicts.
- Health and Safety: Participants must inform instructors of any medical conditions or injuries that may affect their ability to participate.
Enrollment and Program Participation Guidelines
- Age 4–5 Years: Please call to confirm if registrations are open for this age group, as availability may vary.
- Age 5 Years & Up: Registrations are open year-round.
- Transferred Students: Welcome at any time. Registrations are open throughout the year.
- Trial & Assessment: All students must complete both a trial and an assessment class to determine the appropriate level before placement in a regular program.
- Language Diversity in Dance: All students will learn choreography and performance pieces in multiple languages, specific to their chosen dance category.
- Performance Opportunities: Students may or may not perform regularly throughout the year, depending on their progress and available events in the Dallas-Fort Worth metroplex.
- Competitions: Participation in competitions is optional and offered as a means for students to challenge themselves when ready.
- Information Access: Students are given complete information and context for every piece they work on, including cultural, musical, and technical elements.
- Parental Presence for Young Children: Parents of students under the age of 6 are required to stay in class for restroom assistance and supervision.
- Recording for Quality:
- All classes, conversations, and program-related activities are recorded in full for quality assurance, training, and evaluation purposes.
- Recordings may be reviewed internally by staff to ensure program integrity, instructional quality, and compliance with policy standards.
Costume Dues and Usage Policy
- Any costume dues are considered valid for up to 1 year and 6 months if the student is no longer active in the program.
- If the student or any immediate family member continues regular participation in the program, costume dues remain valid for a longer duration and can be utilized accordingly.
- All participants are encouraged to use the costumes within the validity period or clear any outstanding dues.
- Grace and Grooves reserves the right to close accounts and cancel costume credits after the applicable period has passed if dues remain unresolved.
Fee Structure, Payment, Cancellation, and Rejoining Policies
Grace and Grooves LLC has established a transparent fee structure to accommodate various programs and services:
- Tuition Fees: Fees for classes are due at the beginning of each term. Late payments may incur additional charges of 50$. Fees are never collected before hand. Do not endorse any payments to instructors.
- Refunds: Refunds are subject to the institution’s refund or cancellation policy, which considers the timing and reason for withdrawal.
- At any refunds of any type, all past dues that have been communicated by any mode—supported by proof such as dated messages or screenshots—will be applied to balance the account statements before any refund is processed.
- Additional Costs: Costs for costumes, performance participation, and special workshops are separate and will be communicated in advance.
- Payment Methods: Payments can be made via approved methods as outlined by the administration.
- Day/Date of Payments – All payments, payouts, refunds, or cancellations are typically processed on Fridays or Mondays.
- In the event that either day falls on a public holiday, the transaction will be processed on the next available Friday or Monday. All such financial activities are handled exclusively by Ms. Hetal.
- Payouts : Payouts through QuickBooks or usually by Zelle, are automatically scheduled and follow the same processing timeline. 1099 or w9, or w2 is issued.
- No instructor is authorized to accept any payments on behalf of the company. Grace and Grooves Corp and Hetal Nagaraj disclaims any responsibility or liability for any activities, products, services, or payments made directly to instructors by customers, which are not officially endorsed or approved by the company.
- Min 1 month notice required to discontinue and receive refunds as above.
- Notice required for all the holidays/vacations with proper dates of rejoining. We allow students to take those!
Cancellation Policy:
- A standard 30% cancellation fee (on non-discounted class price) is applicable to all group lessons, regardless of the reason for cancellation.
- Private classes and custom program service packages are subject to custom cancellation fees, which are:
- Determined individually based on the scope of the service.
- Outlined at the time of the custom request agreement.
- Issued via invoice to the client prior to service commencement.
Grace Period for Rejoining:
Participants who have left the program are eligible for a grace period of up to 6 months to rejoin without incurring any new registration fees, provided that:
- All outstanding dues from previous participation are paid in full.
- The participant re-enrolls in a program of similar or matching category and availability. Must check with Ms. Hetal for particular batch to rejoin.

Programs for ages 5+, 8+, 10+, 13+, 16+, 21+, and Adults are open year-round.
- Multilingual Dance Instruction:
All students will receive training in dances across various languages applicable to their category.
- Transferred Students:
Transferred students are welcome and may register throughout the year. A test class with Ms. Hetal is mandatory for placement.
- Comprehensive Learning Support:
Each student will receive all necessary information and guidance relevant to the content they are learning.
- Performance Opportunities:
Students may or may not perform regularly in events across the Dallas–Fort Worth metropolitan area, depending on eligibility and availability.
- Competition Participation:
Students have the option to participate in competitions to challenge themselves once they are prepared.
- Trial and Assessment Requirement:
A trial and assessment class is mandatory to determine the appropriate level for each student.
- Parental Supervision (for students under age 6):
Parents or guardians are required to stay in class for restroom visits if their child is under 6 years of age.
- Class Size and Ratio:
The student-to-instructor ratio is determined by factors such as instructor availability, student level, program type, and dance level.
- Class Recordings for Quality Assurance:
All calls and classes, including online sessions, are fully recorded for quality assurance purposes since 1999. Online classes have been recorded since April 1, 2020.
- Structured Curriculum Delivery:
All classes are taught using a structured curriculum that includes techniques, choreography, theory, drama, and other applicable elements.
- Communication and Opportunities:
Upon providing contact details, students and parents may be contacted by our administrative team regarding relevant opportunities, internships, and company updates, including our company newsletter.

Online Class Guidelines:
- Online Classes Prior to April 1, 2020:
Before this date, online classes were offered exclusively to friends, family, or members within the internal dance teacher network.
- Access for Relocated Students:
All current students are eligible to attend online classes regardless of relocation or temporary travel.
- Initial In-Person Requirement:
A firsthand in-person class, either at or by location, is required to continue participating in online classes.
- Location-Based Enrollment:
All classes are strictly organized by physical location. Students must provide a valid address for enrollment. Instructors are available at these locations, and registrations are accepted accordingly.
- Online Class Size and Ratio:
The student-to-instructor ratio for online classes is determined by the instructor, student level, program type, and dance level.
